There is no national Social Security fax number. Disability eRE faxes use the number on your request letter, with the barcode as page 1. Local offices are on ssa.gov/locator. Upload some forms in my Social Security instead.

There is no national Social Security fax number. The Social Security Administration (SSA) and state Disability Determination Services (DDS) publish a fax number on the request letter when they want health or school records for a disability claim. Local field offices list a fax only when you look up that office.

This guide quotes live Electronic Records Express and the eRE FAQ (barcode-as-page-1 rule re-checked 13 September 2026), the Field Office Locator, and KA-10120 (dated 17 February 2026). Do not invent an 833/844 directory. Re-check SSA.gov the day you send.

Do not copy a number from a third-party “Social Security fax numbers 2026” list. Those lists mix old DDS lines, hearing-office lines, and invented toll-free numbers. If the letter is missing, call the DDS or hearing office that is handling the claim and ask for a barcode — live eRE FAQ says that for a hearing-level case you contact that hearing office to obtain the barcode.

Who needs to fax Social Security in 2026

Live Electronic Records Express is for people who send health or school records (or related evidence) on a disability claim:

  • Medical providers — hospitals, clinics, doctors, health-information managers
  • School professionals
  • Third parties — attorneys and claimant representatives

You fax when SSA or DDS has already sent a request letter with a barcode. You do not use eRE as a general “talk to Social Security” inbox.

You might also fax a local field office after you look it up on the locator — for example when that office asked for a specific packet. That is still not a national number.

Claimants replacing a Social Security card, updating name or citizenship, or filing many benefit applications usually use my Social Security, mail, or an in-person appointment. The locator says you must visit a Card Center if you only need a new or replacement card, to update personal information, or if your employer sent you to an office.

Fax (eRE) — Live FAQ: you do not register. Fax the letter plus records to the number on the letter, anytime day or night. SSA says faxing is secure under applicable privacy rules. PC fax software is allowed if the barcode is still page 1 of each document (example on the FAQ: records for Dr. Jones and Dr. Henry each start with that case’s barcode).

eRE website — Free. Restricted access; 128-bit or higher SSL. File types listed on the FAQ include PDF, TIFF, JPEG, Word, Excel, RTF, ZIP, and others. Submission size cannot exceed 50 megabytes. Register through a state Professional Relations Officer, a local hearing office, electronic-records-express@ssa.gov, or the Help Desk 1-866-691-3061 (7:00 a.m.–5:30 p.m. ET, Monday–Friday). Login URL after you are provisioned: http://eme.ssa.gov (quoted from the live FAQ).

eRE itself is free. A commercial online-fax transmission still has a carrier or pay-per-fax fee; SSA does not charge for the government side of eRE.

How to fax disability records (Electronic Records Express)

  1. Keep the request letter. It is both the cover and the routing key. Form SSA-827 (Authorization to Disclose Information to the Social Security Administration) accompanies every SSA request for health and school records and, per the live FAQ, specifically permits electronic processing.
  2. Confirm the fax number on that letter the day you send. Do not reuse last month’s DDS number for a different claimant.
  3. Make the barcode letter page 1. Live FAQ: if you omit it, there may be significant delays associating the file and paying you.
  4. One barcode per document. Multiple providers or multiple documents → barcode as page 1 of each.
  5. Stay under 200 pages per fax (live FAQ). Split or use the website if you are over the cap.
  6. Send a clean scan. High-contrast black-and-white PDF, 300 DPI or higher if you photograph paper. Crooked phone photos break barcodes.
  7. Keep the transmission receipt. The FAQ says your fax equipment should show a successful transmission and the page count. That is your proof on send day — SSA does not fax a “we filed it” letter back on the same number.

Local offices: use the Field Office Locator

ssa.gov/locator is the live directory. Search by address, city, state, or ZIP. Offices outside the United States are linked from that page to ssa.gov/foreign/foreign.htm.

The locator’s office cards include phone, TTY, and fax fields when SSA publishes them for that site. That fax is that office’s number. It is not a national intake for disability medical records, and it is not a substitute for an eRE barcode letter.

SSA also tells you to make an appointment before visiting. Card-only errands go to a Card Center.

If the locator errors (the public page can show an application error), refresh or call the office’s published voice number — do not fall back to a blog list.

After you fax

  • eRE fax: a successful page-count receipt means the terminal answered. The barcode — not your cover-sheet name — is what files the packet. SSA may still take time to associate records and, for paid medical evidence, to start reimbursement (eRE lists “start reimbursement process sooner” as a benefit of electronic send, not a same-day check).
  • eRE website: you get an immediate tracking page you can print or save.
  • Amendments: you may send new information; the original report stays in the electronic file (live FAQ).
  • Pay: compensation for reports does not change because you faxed instead of mailed.
  • Personal Upload Documents: you will not get a fax confirmation; use the my Social Security confirmation screen.

Do not expect SSA to fax a Social Security card, a benefit award letter, or a certified record back to a pay-per-fax number unless a specific office told you they would.

What is the Social Security fax number?

Do I register before I fax eRE records?

No. Registration is for the secure website. Fax = letter + records, barcode on page 1.

Can I e-sign and upload instead?

For many personal forms, yes — KA-10120. For disability medical evidence, eRE website or fax. Original/certified copies cannot go electronically.

Is PC fax or online fax allowed?

Yes. Live FAQ allows PC fax software if each document still starts with the SSA/DDS barcode. Scan the barcode page; do not put your own marketing cover in front of it.

How do I get a barcode if I lost the letter?

Contact the DDS or the hearing office handling the claim. Hearing-level cases: that hearing office (live eRE FAQ).

Can I fax more than 200 pages?

Not in one eRE fax. Split the packet or use the website (50 MB cap).

Is eRE a substitute for HIPAA?

SSA says both eRE channels comply with the goals of HIPAA (and FERPA for student records) when used with a proper plan. Covered entities still need their own safeguards and, when a vendor handles PHI, a BAA. See HIPAA Fax Myths vs Facts in 2026.

Send an SSA packet with SingleFax
