
Who Needs a Permanent Fax Number in 2026 (and Who Should Skip It)
A practical guide for founders after EIN, real estate and title desks, clinics, accountants, and law offices — plus Canada inbound context and when EIN helpers use the $19.99 EIN SKU instead of lifetime per client.
A permanent fax number is not a personality trait and it is not a page bundle. It is a published address: you put it on a form once, and someone you do not control dials it weeks or months later.

After the EIN: solo LLC founders
The EIN by Fax product is $19.99: Form SS-4 fill, Fax-TIN, and a 90-day return number so the IRS can send the confirmation cover sheet (typically about four business days). That job ends.
What does not end: Mercury, Stripe, a payroll vendor, a 1099 contractor, and the first bank still asking for a fax field on a W-9 or vendor form. Those arrive on their onboarding queue.
Keep the lifetime number if the fax is going on your operating-agreement packet, invoice footer, or “company fax” field. $97 once (Pro $147). Send stays $0.99. Extra inbound after starter credit is $4.99. Credit does not expire.

Real estate, title, escrow, mortgage
Closings slip. Conditions come back after the buyer’s 30-day rental is dead. That is the late-reply story in one sentence.
A listing, broker packet, or title instruction sheet that shows a fax number is a publish decision. The lender or insurer works a file when the file is ready — not when your temporary line expires.
Use 30-day only when you know the other desk will return pages this cycle (a same-week payoff request, a known underwriter). Use lifetime when the number is printed where a stranger will find it in month four.
Inbound on lifetime is still $4.99 after credit, with hold-to-release if the balance is empty. You are buying the address, not unlimited title packages.
Clinic, dental, and pharmacy admin
Referrals and prior-authorizations still move by fax. They also arrive late: a specialist office dials the number on last month’s cover.

A Canadian lifetime number is still a strong fit when banks, counsel, or US partners put a fax field on onboarding packs.
CRA usually delivers protected correspondence through My Business Account or mail — not as unsolicited fax to your number. Lifetime here is identity for counterparties and forms that still ask, not a CRA inbound pipe.
