How to Fax From a Mac
$0.99 covers up to 10 pages, pay only if delivered.

This Mac guide is part of how to fax from a computer, which also covers Windows and browser methods.
A one-time fax starts at $0.99 for up to ten document pages, with no account or subscription and $0 if delivery fails. A bank authorization can remain pending until the bank releases it.
Send a fax from your Mac. The preparation and printer instructions below were checked against Apple's support documentation on 8 October 2026.
Does macOS have built-in fax?
Apple's current Mac fax guide describes sending through a compatible fax-enabled multifunction printer. It uses the Print dialog and the printer's fax queue. The available controls depend on the printer and its supported software.
That is different from faxing with only your Mac and an internet connection. A normal printer without fax capability does not become a fax device merely because it appears in Printers & Scanners. Follow the manufacturer's line and setup instructions if you use this hardware route.
For most occasional senders, a browser or email gateway avoids the equipment setup. You can work from a MacBook, iMac or Mac mini using the same online sending process. A laptop's Wi-Fi or hotspot provides the internet connection; it is not the fax telephone line.
| Route | Equipment on your side | Best fit |
|---|---|---|
| Browser upload | Mac and internet | One document with a packet preview |
| Apple Mail gateway | Mailbox and actual attachments | Document already prepared for email |
| Print to PDF, then upload | App with a Print or PDF export command | A document open in another app |
| Compatible printer fax | Fax-enabled device and required line/setup | Existing working office equipment |
Method 1: Safari or Chrome upload
1. Prepare the complete packet
Open the document and check that all required fields and signatures are present. Export to PDF when you want the pagination and order preserved. A spreadsheet or web page can create more pages than expected, so inspect the export in Preview first.
Use a sensible filename that identifies the packet without unnecessary sensitive information. Do not put a full Social Security number or patient diagnosis in the filename. Keep a local copy of exactly what you intend to send.
2. Open the send page and upload
In Safari or Chrome, open the SingleFax send page. Choose your document from Finder or use the page's upload control. Attach every required page and inspect the packet before proceeding.
A link to an iCloud, Google Drive or OneDrive file is not the document itself. Download the actual file first unless the selected service explicitly supports the cloud workflow you are using. See faxing from a computer for more routes.
3. Enter the destination and review
Use the recipient's direct fax number, including the appropriate country code. Verify it from the recipient's official website or current letter. Office voice extensions are not a substitute for a direct fax line.
Enter the email where you can receive the final result. If a cover is appropriate, add the department, your callback method and a short routing message. SingleFax excludes covers generated by its composer from billed document pages; a cover already merged into your upload counts as part of that document.
4. Pay and keep confirmation
Review the quoted destination, packet and payment terms before checkout. Complete payment to begin transmission, then wait for the final result. An upload or receipt is not the same as delivered status.
Save the final confirmation with the packet. For an important filing, follow the recipient's instructions for acknowledgment and processing. Fax delivery does not establish that an agency approved the form or completed your request.
Method 2: fax from Apple Mail
Create a new message addressed to send@fax.delivery. Put the destination fax number with country code in Subject, attach the document files, and send. SingleFax replies with a payment link; review the details and complete payment to start the fax.
The email gateway allows ten files and ten MB total. Attach actual copies rather than sharing links. If Mail inserts a photo into the message body, check that the document is supplied as an attachment, or export a PDF and attach that instead.
Use a mailbox that can receive both the payment reply and final delivery result. Check spam if the reply does not arrive, and keep the private status link. Do not assume that the Sent folder proves fax delivery.
For regulated PHI, use the separate HIPAA web flow rather than ordinary email-to-fax. Our email-to-fax page explains the gateway's accepted attachments and workflow in detail. The same gateway also works with Outlook.
Method 3: Print to PDF, then fax
Apple documents saving a PDF from the Print dialog: open the document, choose File → Print, open the PDF menu, then choose Save as PDF. Choose a filename and location you can find in the upload picker.
Open the saved PDF in Preview. Check that text is readable, margins are not clipped, and the signature and date are visible. Remove accidental blank pages and confirm that the document is in the recipient's required order.
The PDF is only the prepared file; saving it does not send a fax. Upload it to the send page, or attach it to the Mail gateway message and complete its payment step.
Do not add an opening password to a file the fax service needs to convert. If you already have a protected document, use the source application's permitted export process to make an appropriate upload copy. Confirm that you are authorized to share the document.
Scan on a Mac without a scanner
Continuity Camera can place a scan from a nearby supported iPhone or iPad into a Mac document or folder. Apple's guide lists account, connection and device requirements. The exact menu can name the available device.
In Finder, Control-click the location where the scan should go, choose Scan Documents (under Insert from your iPhone or iPad when that submenu appears). Capture the pages on the phone, adjust the boundaries and save the result. Inspect the resulting PDF on the Mac before faxing it.
If that menu is unavailable, you can scan on the phone and transfer the PDF through AirDrop or your chosen storage route. That does not require buying a Mac fax modem. See our iPhone guide for Notes and Files scanning.
| Scan issue | Adjustment |
|---|---|
| Shadow or gray background | Use even light and a flat, light surface |
| Missing edge | Adjust corners before saving |
| Small text unclear | Move closer while keeping the whole page visible |
| Pages out of order | Review thumbnails and export one ordered PDF |
| Signature too faint | Check contrast in the saved scan before upload |
A casual photograph can become hard to read after monochrome conversion. A scan with a white background, dark text and straight edges usually produces a clearer packet. Inspect the actual saved file rather than relying only on the camera preview.
Receive faxes on a Mac
An online receiving number lets another person fax you without a physical machine. Give them the assigned number and incoming documents arrive as PDFs in your email. You can open them in Preview, save them to the case folder, or print them when necessary.
A free 24-hour number can work for an immediate reply within its allowance. A 30-day number for $4.99 is better for a response expected over several days. For ongoing correspondence, compare company plans or a lifetime number with its stated credit and usage terms.
Keep the line active until the expected reply arrives. A temporary number is not suitable for permanent letterhead or a form that will be processed next month. Verify any number transfer before closing the old account.
Free receiving requires a verified email, with one active free number at a time, up to three claims per rolling 30 days and 25 free inbound pages across those claims. Extra faxes may be held for payment to view. The free tier is not HIPAA; the $4.99 30-day product includes its first received fax, with additional receiving charged under its terms.
Using an existing multifunction printer
If you already have compatible fax hardware, Apple's guide says to choose File → Print, select the multifunction printer under Faxes, enter the recipient and any required dialing prefix, then choose Fax. Follow the printer's instructions when the controls differ.
An office dialing prefix belongs to that hardware phone system. Do not add it to an online service's destination field. Check the printer's transmission report after sending; a successful print job is not necessarily a successful fax call.
Frequently asked questions
Can a MacBook send a fax over Wi-Fi?
Yes, through an online fax provider. Wi-Fi carries your upload to the provider; the provider calls the receiving fax number. The MacBook does not need a telephone jack.
Can I fax a Pages or Word document?
You can prepare those documents and export a PDF to preserve layout. Review the PDF first, then upload or attach it. Our Word cover template is useful when the recipient needs a routing page.
What if the recipient is busy?
Inspect the final status and verify the direct fax number. Wait for the result rather than creating repeated duplicates. A failed final delivery costs $0.
Can I send a medical document from my Mac?
Choose the appropriate secure product and workflow. For an organization's regulated PHI, use the HIPAA fax flow and complete the required BAA before upload.
