The main sending guide covers the complete process. If you have a file ready, send it now: sending starts at $0.99 for up to ten document pages, with $0 if delivery fails. Details were checked on 8 October 2026.
Five ways to fax without owning a machine
Whichever method you choose, keep the original document and final transmission result together.
Choose the route that fits where your document already is. A saved PDF is easy to upload; paper needs scanning first. A store can help in person, but you still need the correct number and a complete signed packet.
| Route | Starting point | Extra equipment | Main thing to check |
|---|---|---|---|
| Browser | PDF, Word file or supported image | Computer or phone with internet | Converted preview and destination quote |
| Phone | Paper scan or saved document | Phone with internet | Page edges, shadows and signatures |
| Actual document attachments | Mailbox and fax gateway | Gateway limits and reply checkout | |
| Document or photo in chat | WhatsApp and supported gateway | Review/payment link and final result | |
| Store | Paper or a file the branch can handle | Store supplies its machine | Availability, charges and report |
You do not normally need to buy your own receiving number for a one-time online send. That becomes necessary when the recipient must fax something back to you. Think about the reply window before putting a temporary number on a form.

Watch on YouTube- Prepare the document. Save the complete packet, including required signatures and attachments. If you start with paper, scan it to a readable PDF.
- Upload the packet. Open SingleFax Send, attach the actual files and inspect the preview and page order.
- Enter the destination. Use the verified direct fax number and enter the email for your result. Add a cover when the recipient needs routing details.
- Review and pay. Check the packet, destination quote and payment terms, then complete checkout.
- Keep the result. Wait for the final transmission result and save the successful confirmation with your sent packet.
The provider supplies the fax connection, so the recipient can still use an ordinary fax machine. They do not need the same browser, phone or app. For a longer platform-specific walkthrough, see fax from a computer.
Phone: scan paper, then fax it
A phone scanner turns paper into a document; it does not transmit a fax by itself. Capture every page on a flat, well-lit surface. Check corners, signatures, stamps and faint handwriting before saving. A single PDF makes page order easier to review than a collection of casually taken photos.
Open the fax sender in your mobile browser and attach the saved file. Follow the destination, cover, checkout and result steps above. Wi-Fi can be enough; the online service makes the telephone connection. Keep your email accessible so you can check the final result after transmission.
Use the phone hub, iPhone guide or Android guide. SingleFax's iOS app is under review; the browser method is available now.
Email: use a gateway, then complete checkout
For SingleFax, email send@fax.delivery, put the recipient's fax number in the subject and attach the actual documents. The gateway accepts up to ten attachments and 10 MB total. A cloud-sharing URL, Mail Drop link or voice telephone number in the To field is not the same input.
SingleFax replies with a link to review the packet and complete checkout. That step remains required even if you have credits; emailing a file does not automatically spend the balance and transmit. Wait for the final fax result after the sending process finishes.
The email gateway guide, Gmail guide and Outlook guide explain attachment controls. Download and attach a copy when a mail app otherwise offers a Drive or OneDrive sharing link.
WhatsApp: attach the file and review the quote
SingleFax's standard WhatsApp gateway uses +1 628 234 2010. Follow its instructions to identify the recipient fax number and supply the document or photo. Open the reply's payment or review link and check the converted packet before checkout.
A chat acknowledgement is not a successful fax result. Keep the final result and the sent document, especially when a deadline or application is involved. If you start with a photo, check that it includes the full page rather than only the visible center.
This is the ordinary fax workflow. Organizations sending PHI with a BAA requirement should use the HIPAA Secure web workflow, rather than assuming the standard chat gateway is covered by that arrangement.
Store: use someone else's machine
You can use a participating Staples, UPS Store or FedEx Office, or a library that offers public faxing. Call the specific location first and ask about your destination, packet length, hours and receiving needs.
Bring the signed pages, verified number and routing instructions. Ask how cover pages, failed attempts and confirmation prints are charged. Keep the final transmission report and collect every original. A store is useful for in-person assistance; an online route can be simpler when you already have a readable digital file.
How to receive a fax without a machine
For receiving, you need a number that a fax sender can dial. An online service answers that call and creates a PDF. You can view the document on your phone or computer instead of collecting printed pages from a machine.
SingleFax offers a free US number for 24 hours with verified email and no card. It allows one active free number at a time, up to three claims in a rolling 30 days, and 25 free inbound pages across those claims. Extra faxes are held for paid viewing. The free number is not the HIPAA workflow.
Give the sender the exact assigned number and confirm it is active before they transmit. Check your email, spam folder and receiving status for the result. Allow for transmission, conversion and email delivery; do not promise a fixed arrival time solely because the sending machine has finished.
If the reply may take longer, choose the $4.99 30-day number. Its first received fax is included; additional received faxes are paid separately. Monthly plans supply an ongoing number and page pool. A Lifetime Basic number costs $97, includes starter credit and charges for further fax traffic; it does not mean unlimited receiving forever.
Choose duration for the actual use case. A 24-hour number may suit a same-day exchange but is a poor fit for an agency that replies weeks later. When possible, ask the sender when they expect to fax, then keep the number active through that period.
Can you fax without a phone line too?
Yes. With an internet fax service, the phone connection is supplied by the provider. Your device uploads the document over the internet, and the provider handles the fax transmission to the destination. You can use broadband or Wi-Fi without a telephone jack at home.
That differs from a traditional fax modem or a fax-capable printer configured for a physical line. Those methods have their own hardware and connection requirements. A scanner or ordinary voice app does not become a fax transmitter merely because it is connected to the internet.
The no-phone-line guide explains that distinction. If you have an existing office machine, check its supported connection before changing anything. If you only need one send, a browser can avoid configuring a modem or printer.
Is online fax legally valid?
The useful question is whether the recipient accepts fax for that particular document, and what signature and submission rules it imposes. An online provider can send to the same fax endpoint as a physical machine. That does not determine the legal effect of every document or create permission to ignore a required original, electronic portal or mailing procedure.
For example, the IRS's Form 2553 instructions expressly describe fax submission and tell filers to keep the original election in their permanent records. Use the correct form, signatures and destination from those instructions. Successful transmission still does not establish S corporation election acceptance; the IRS processes that separately.
For another recipient, check its current instructions or ask the responsible office whether a fax copy is accepted. A court, insurer, employer or government agency can have different requirements. Keep the signed original and the exact sent packet, as well as the final transmission confirmation.
Where a document's legal effect or filing deadline is uncertain, get guidance for that specific situation. Choosing online rather than machine fax resolves the transmission method, not the underlying filing rules.
Tips for a clear, correctly routed fax
Check the source at normal reading size. Faint pencil, tiny type and heavy shadows can become difficult to read after fax conversion. Improve the scan before sending. A higher-quality file cannot restore writing that was already out of focus or cropped.
Keep page order explicit. Put the cover first if required, followed by the form and its attachments in the recipient's requested order. Remove duplicated or unrelated pages. When showing a page total on a cover, state whether it includes that cover.
Verify the direct destination. Use a current official website, form instruction or letter. A general voice number or extension may not accept fax. Our fax number guide explains country codes and how to write a receiving number on a form.
Minimize cover details. Include enough to route the document to the intended person or department. Avoid unnecessary medical, tax or account information in a large cover heading. A confidentiality notice does not substitute for the right service and safeguards.
Separate transmission from acceptance. A checkout receipt, sent email or upload message is not the final fax result. Save the successful transmission confirmation, then follow the recipient's processing procedure if you need acknowledgement or approval.
Check before resending. A busy line or retry can extend completion time. Review the first send's status before ordering another. If only part of a packet arrived, agree with the recipient whether to resend everything or the missing pages.
What does it cost without a machine?
You avoid buying your own hardware, but the fax service can still charge for transmission. Compare the whole packet and receiving needs, rather than treating a free app download as free faxing.
| Need | SingleFax price or option | Important distinction |
|---|---|---|
| One-time send | $0.99 for up to ten document pages | $0 on failed delivery; extra pages about $0.08 each |
| Other destination | Displayed quote | Destination-specific charge-on-dial terms |
| Same-day receiving | Free 24-hour US number | Verified email and free usage caps |
| Longer receiving window | $4.99 for 30 days | First received fax included; additional receiving paid |
| Regular use | Standard $7.90/month or $79/year | 300 pooled monthly pages and plan terms |
| Continuing number | Lifetime Basic $97 | Starter credit; additional traffic paid |
A cover made in SingleFax's composer is excluded from billed document pages. An uploaded cover, or one merged into a PDF, is part of that document and counts. Confirm the final page count and quote before checkout. Product prices above were checked on 8 October 2026; the pricing page has current terms.
Some providers offer a limited free sending tier. Read its page, daily, destination and branding restrictions before using it. Our free-service comparison separates free sending from trials and free receiving.
